Essential Job Duties:
The HR Specialist will assist units in navigating Federal, State, University, and College policies, procedures, and rules.
The HR Specialist must be knowledgeable of the appropriate procedure for each employee category utilized in these units, specifically those in highly specialized research, industry relations and extension service related activities.
The HR Specialist handles details of a highly confidential and critical nature. A high level of professionalism, confidentiality, follow-through, and attention to detail is required. Candidates for the position must have a proven ability to independently manage multiple tasks and HR functions with competing deadlines and priorities.
The HR Specialist is responsible for providing HR expertise and support to management teams and supervisors as it relates to permanent staff, temporary personnel, visitors, and no-pay appointments. The HR Specialist will work within a team of dedicated HR professionals; serve as a collaborator with the College Business and Research Office, Office of Research and Innovation (ORI), OIS (Office of International Services), University Human Resources, and other University Offices; interpreting human resource policies and procedures as well as advising employees and department administration.
In addition, the HR Specialist will be responsible for ensuring that the units are in compliance with NC State, UNC Systems Office, and OSHR policies/procedures. Responsible for maintaining employee records and information in a confidential manner.
Key responsibilities will be serving as the payroll specialist for all staff, temporary and student hires. Administer the College's Visitor Program for International Scholars and Student Internships and Student Experiential Camps.
Serve as the Leave Coordinator through oversight of the Wolftime Leave Program reconciliation processes, analysis of punch records for leave usage parameters, quarterly leave usage reports and annual certification process.
As Hiring Coordinator, the incumbent will aid in a logistics for the recruitment and selection process in attracting highly sought after candidates through to their onboarding experience within the college. Working with the HR team will aid in job advertisement placements, candidate interviews.
Will serve as coordinator on a variety of HR activities to better effect the business efficiencies of the unit. Responsible for general administrative functions such as scheduling meetings, appointments, distributing information, filing and other ad hoc tasks. The employee will handle sensitive personnel information which requires confidentiality and a high level of professionalism. Extremely customer service oriented.
Bachelor’s degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
High level working expertise using various software systems: Google Docs, Word, Excel, Powerpoint, and web-based data systems.
Competencies in the areas of creative problem solving to create service solutions that meet the increasing demands for compliance.
Perform with precision, determination, and positive attitude.
An ideal candidate will have the demonstrated ability to use judgment and to apply policies, procedures, and regulations maintaining and processing personnel transactions; to gather and compile routine personnel information from potential or present employees, supervisors, and management personnel; to establish and maintain effective working relationships with employees, supervisors, and the general public; to express oneself clearly and concisely in oral and written form; to understand and carry out complex oral or written instructions; and to work independently.
Required to have 2-3 years experience in a human resources role, with experience having processed and reconciled payroll with extreme accuracy.
Must have excellent communication and organization skills.
Must be proficient in Microsoft Office software including Word and Excel as well as Google Docs/Sheets.
Proven ability to navigate federal compliance processes for work eligibility and identity verification through the I-9, and preferred experience using the E-Verification portal.
Demonstrated success working as part of a high functioning team, and as an individual contributor demonstrating creativity towards process improvement and innovative strategies for a culture of service first.
The candidate is preferred to have a general understanding of research operations, testing or fabrication facilities, or academic environments. Experience working with international scholars and visa processing is preferred.
