The Divisions Assistant works directly with the Division Supervisor to perform a wide range of administrative and support activities for the IFAI Divisions. Primary function consists of assisting the Division Supervisor in administering programs and projects, advisory boards, committees, and task forces.
Duties and Responsibilities:
Schedule meetings and prepare agendas
Open, sort, and distribute incoming correspondence
Record, compile, and distribute meeting minutes
Takes calls and answers emails for the Division
Prepare and track documents including correspondence, reports, drafts, memos, emails, and power-point presentations
Maintain electronic and hard copy filing system
Work within database to retrieve and/or update records
Handles request for information and data
Performs other related duties as assigned
High school degree required and 3-7+ years of administrative experience. Associates or Bachelor's degree preferred.
Ability to gather information, problem solve, multitask, and prioritize work.
Knowledge of clerical and administrative procedures and systems such as filing and record keeping
Strong attention to details, deadlines, and documentation
Excellent oral and written communication skills
Ability to interact and communicate with all levels of internal and external customers
Must be able to communicate with a wide variety of individuals. Must be able to understand directions, communicate and respond to inquiry in various forms.
Must be able to effectively utilize the Microsoft suite of products (Excel, Word, PowerPoint, etc.). Experience with SharePoint a plus.
Must be able to input and retrieve information from a computer using various word processing, spreadsheets, and software programs
Must be able to move about building and within/between workstations.
